You worked a long call list to book this appointment. Then you show up at 6pm, knock and nobody answers. Or the seller texts at 4:30: "Something came up, can we reschedule?" Rescheduled appointments have a way of never happening.
Most cancellations come from the same place. To the seller, you're still a stranger who called this morning, and between the call and the visit they've talked to other agents, a neighbor or a relative who has opinions. The fix is to stop being a stranger before you arrive. A text, a link and a 30-second video do most of that.
The moment you book, pause and text
Don't go straight to the next dial. Pause your session, open the contact and send the confirmation while the seller still remembers your voice. Waiting until the end of your call block means the text arrives an hour later from a number they don't recognize.
First, save the contact so you can't mix them up later: first and last name, plus the property address in the contact record. When they text back next week, you'll know exactly who it is.
Then send this:
"Hi Maria, it was great speaking with you. Looking forward to meeting you tonight at 6 at 412 Oak. [Your name], [Brokerage]. Here's a quick page about me so you know who's coming: [link]"
Keep it short. Name, time, address, who you are and one link. Skip the market stats and the long bio.
Before you text anyone, make sure you're allowed to. A seller who just agreed to meet you is a different case from a cold number off a list. Ask on the call, "Is it okay if I text you the details?", and note the yes. Put your name and brokerage in the text, and stop right away if they reply STOP. More in our guide to texting real estate leads legally. Not legal advice. Check your state rules and your broker.
What the link should show
The link does one job: it makes you a real, credible person before you knock. Point it at something clean and current:
- Your agent bio page or brokerage profile with a recent photo.
- Recent sales or listings, especially nearby ones.
- Reviews from real clients.
Add a line asking them to look: "If you have 30 seconds before tonight, take a look so you know exactly who I am." Sellers who've clicked through often greet you as someone they already know.
The 30-second selfie video
Right after the text, record a short video on your phone and send it. Most agents skip this step. A face and a voice are much harder to stand up than a phone number.
Keep it under 45 seconds. Here's a structure that works:
"Hi Maria, it's [your name]. Thanks again for your time this morning. I wanted to put a face to the name before I come over tonight.
Here's what we'll cover. First, a few low-cost or no-cost things that could help your home show better. Second, exactly how I'd market it and what I've done for sellers nearby. And third, I'll bring the paperwork, so if everything makes sense, we can get started right away.
If any questions come up before then, just text me. See you at six."
A few notes on delivery:
- Film it where you work. Your car, your office or outside a listing. It shouldn't look produced.
- Say their name and the time. It proves the video was made for them.
- Tell them what to expect. People cancel when they're unsure what the meeting is for. Laying out the agenda takes that worry away.
- Mention the paperwork casually. Telling them you'll bring it sets the expectation that a decision is possible tonight, without pressure.
Will it feel awkward the first few times? Probably. Send it anyway. The seller won't judge the lighting.
If the appointment is days away
Same-day and next-day appointments only need the text and the video. When the appointment is three or more days out, or the seller is traveling, the risk of a cancel grows with every day. Fill the gap with a short drip, roughly every three days, by text if they agreed to texts and by email otherwise:
- Day 0: Confirmation text and selfie video.
- Day 3: A short market snapshot of their neighborhood: what's active, what went pending and what sold recently.
- Day 6: Your credentials or a recent result nearby.
- Two days before: A friendly check-in about anything you'll need, like HOA documents, a survey or a list of updates they've made.
- Morning of: A one-line reminder.
Each message gives them a reason to keep the appointment and makes cancelling feel like more effort than showing up.
The day-before and morning-of reminders
Keep reminders light. They should read like a quick note from a person:
Day before: "Hi Maria, still on for tomorrow at 6? If it's easy, have any recent updates or HOA info handy. Looking forward to it."
Morning of: "See you at 6 tonight at 412 Oak. I'll text when I'm on the way."
That last line also gives you a reason to text 15 minutes out, which confirms they're home before you park.
Show up early and prepared
Confirmation messages set an expectation. You have to meet it. Arrive early, every time. If you're on time, you're late. Walk the property and take notes before you sit down, and have everything ready: a CMA you can explain line by line, a net sheet at the price you'll recommend and the listing agreement. See building a CMA sellers trust.
When you sit down, re-ask their motivation even if you heard it on the phone. They've likely talked to other agents since this morning, and you want to lead the conversation from the start.
If they cancel anyway
Some will. Respond quickly and keep it easy to rebook:
"No problem at all, Maria. Things come up. I can do tomorrow at 5 or Thursday at 6. Which is better?"
Two specific options beat "Let me know when works." If they won't pick a time, ask a direct question: "Has something changed with your plans to sell?" Then set a callback in your system for the next day. A cancelled appointment with no date attached usually ends as a lost lead.
If you meet and they don't sign, the next steps are in follow-up after the listing appointment.
How AVEX helps
In AVEX RE, when you log "Appointment set" on the call list, the deal moves to the appointment stage in your pipeline. Texting from the AVEX inbox is available after a one-time registration, and once it's on, the conversation stays on the contact record next to your call notes. The selfie video is something you record on your phone and send yourself; AVEX doesn't record it for you. Before you walk in, your CMA and seller net sheet each have a shareable link you can text ahead of the visit or bring up at the table.
FAQ
When should I send a listing appointment confirmation text?
Right after you book, before your next dial. A text that arrives minutes after the call is tied to your voice. One that arrives hours later is just a number.
What should a listing appointment confirmation text say?
Your name and brokerage, the date, time and address, and one link that shows who you are. Keep it under 50 words.
Do selfie videos really reduce listing appointment cancellations?
Many listing agents use them for that reason: a face and a voice make you a real person before you arrive. Track your own cancel rate before and after you start sending them.
Should I send a reminder the day before?
Yes, if the appointment isn't same-day. Keep it short and friendly, and send a one-line reminder the morning of.
What do I do if a seller cancels the listing appointment?
Reply right away, offer two specific new times, and if they won't choose, ask whether their plans to sell have changed. Set a callback for the next day either way.
